Answering Machine, Phone Service or AI Assistant?

Every trades business hits the same wall: the phone rings while your hands are full. There are three ways out of it, and they are genuinely different products at genuinely different prices. Here is a straight comparison, including the cases where we are not the right answer.

Short answer

An answering machine is the cheapest and converts the fewest calls, because most callers hang up rather than leave a message. A staffed phone service answers in a human voice and suits low volumes and complicated calls, but is usually priced per call and often limited to office hours. An AI phone assistant costs a fixed monthly fee, answers day and night including weekends, and books the appointment itself, which is why it tends to fit trades businesses whose missed calls arrive at the worst possible times.

Pricing structures vary by provider, so check the tariff rather than the headline. The point of the middle column is that you pay per call: predictable when it is quiet, expensive in exactly the months when business is good.

Why the answering machine is the expensive option

It looks free, and that is the trap. The cost does not show up on an invoice, it shows up as jobs that quietly went somewhere else.

Somebody with a broken heating system is not in a patient mood. They are working down a list of numbers, and the first business that picks up gets the job. A recording asking them to leave their name is not a competitor to a human voice; it is a competitor to the next number on their list.

When a staffed phone service is the better choice

We sell an AI assistant, so treat this section with the scepticism it deserves. It is still true. A staffed phone service is the better fit when:

  • Your call volume is genuinely low, so paying per call works out cheaper than any monthly fee
  • Your calls need judgement that cannot be written down in advance
  • Your customers are in distress and need a person, not an efficient conversation
  • You need somebody to make outbound calls on your behalf, which an inbound assistant does not do

What is the difference between a phone service and an AI phone assistant?

A phone service (Telefonservice) is staffed by people in a call centre who answer under your business name and pass messages on. An AI phone assistant is software that answers the call itself, understands what the caller wants, and books the appointment directly into your calendar. The phone service costs more per call and is limited to office hours in most tariffs; the AI assistant costs a fixed monthly fee and answers at three in the morning on a Sunday.

Is an AI phone assistant better than an answering machine?

For a trades business, almost always. An answering machine only records callers who are willing to leave a message, and most are not. An assistant that actually talks to the caller, takes the address and the fault, and books a slot converts that same call into a job.

When does a human phone service still make more sense?

When your calls are genuinely complicated, emotionally sensitive, or need judgement that cannot be scripted, and when your call volume is low enough that per-call pricing stays cheap. We would rather tell you that than sell you the wrong thing.

Can I keep my existing phone number?

Yes. Your number stays yours. Calls are forwarded, and you decide whether the assistant answers every call or only the ones you do not pick up within a few rings.

What happens with a real emergency?

The assistant recognises urgent calls and triages them. It either forwards the caller straight through to your on-call number, or takes every detail and flags it as a priority so you can call back immediately.

Is an AI phone assistant DSGVO-compliant?

It can be, but it depends on the provider. Ask where the call data is processed, whether an AVV (data processing agreement) per Art. 28 DSGVO is provided, and whether recordings leave the EU. Ours runs on EU servers with an AVV included.
